Privacy Policy
At Enrolla ("Enrolla," "we," "us," or "our"), your privacy is a top priority. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our services at enrolla.com.
1. Information We Collect
a) Information You Provide
- Identifiers: Name, email address, phone number, institution name, job title.
- Account details: Login credentials (usernames, passwords).
- Billing information: Payment method, billing history.
- Support & communications: Messages, form entries, or chat logs.
b) Information We Automatically Collect
When you visit enrolla.com, we automatically collect:
- Device & usage data: IP address, browser type, operating system, screen size, referring URLs, time spent, and interactions.
- Cookies & similar technologies: Used for functionality, analytics, and advertising as described below.
c) Information from Third Parties
We may collect information from analytics tools (e.g. Google Analytics), CRM platforms (e.g. HubSpot), and public sources or business directories.
2. How We Use Information
We use your information to:
- Operate, maintain, and improve the Services.
- Authenticate users and secure accounts.
- Respond to inquiries and provide customer support.
- Send transactional messages and, where appropriate consent or implied consent exists, marketing communications.
- Analyze usage for product improvement and business intelligence.
- Prevent fraud, abuse, and legal violations.
- Comply with legal requirements and enforce our agreements.
We may also create aggregated or de-identified data to improve our Services. We will never sell your personal information.
3. Advertising and Conversion Tracking
We use advertising pixels and conversion tracking tools from Google Ads, Meta Platforms, and LinkedIn to measure the effectiveness of our marketing campaigns and serve relevant ads to prospective customers. These tools may receive:
- Conversion events (e.g. demo requests, sign-ups) triggered on enrolla.com.
- Cookie identifiers and hashed email addresses where used for custom audience matching.
- IP addresses and general location data.
We do not share student lead data collected through the Enrolla platform with advertising platforms for targeting purposes. Advertising tracking applies only to enrolla.com marketing pages and is directed at prospective business customers (e.g. admissions and marketing staff at colleges and universities), not at students using the platform.
To opt out of interest-based advertising, visit the settings pages for Google (adssettings.google.com), Meta (facebook.com/adpreferences), and LinkedIn (linkedin.com/psettings/advertising), or use a browser-level privacy tool.
4. Email and Marketing Communications
Enrolla sends marketing communications to prospective and existing business customers based on:
- Express consent: where you have opted in to receive communications.
- Implied consent under CASL: where you have an existing business relationship with Enrolla, have made an inquiry, or have provided your contact information in a context where it is reasonable to expect commercial messages (e.g. requesting a demo or submitting a contact form).
All commercial electronic messages sent by Enrolla will identify Enrolla as the sender, include a valid mailing address, and include a clear and easy mechanism to unsubscribe at any time. Unsubscribe requests will be honored within 10 business days as required under Canada's Anti-Spam Legislation (CASL).
Student lead data collected through college-deployed Enrolla widgets is transmitted to the applicable college client for their own communications. Enrolla does not directly market to students; the college is responsible for its own email compliance when communicating with those leads.
5. How We Share Information
We may share your personal information with:
- Subprocessors: Vendors who host, process, or support the Services, as listed on our Subprocessor page at enrolla.com/legal/subprocessors.
- Advertising partners: Google Ads, Meta, and LinkedIn as described in Section 3 above. These parties act as independent data controllers for their own purposes.
- Professional advisors: Legal, financial, or compliance consultants bound by confidentiality.
- Corporate transactions: In the event of a merger, acquisition, or restructuring.
- Legal compliance: When required by law, subpoena, or government request.
We do not sell personal information.
6. Student and Minor Data
Our platform may be used by students, including minors under 18, exploring academic programs. We are committed to protecting their privacy:
- We do not knowingly collect personal information from users under 14 without verifiable parental or guardian consent.
- Student data collected through the platform is used solely to provide program recommendations and support the enrollment activities of the applicable college client.
- We do not use student data for advertising, profiling, or resale.
- Student data is not shared with advertising platforms.
If you are a parent or guardian and believe we have collected information from a child under 14 without appropriate consent, please contact privacy@enrolla.com and we will promptly investigate and remove the data if appropriate.
7. Data Security
We implement administrative, technical, and physical safeguards to protect personal data, including:
- Encryption in transit (TLS 1.2 or higher) and at rest (AES-256).
- Role-based access controls and audit logging.
- Data segregation across tenants.
- Regular vulnerability assessments and security reviews.
- Employee confidentiality agreements and security training.
While we take these reasonable steps, no online service can guarantee 100% security. In the event of a data breach, we will notify affected parties in accordance with applicable law.
8. International Data Transfers
Our Services are operated from Canada and may be accessed internationally. Personal data may be transferred to and stored in Canada, the United States, or other countries where our subprocessors operate. We ensure appropriate safeguards are in place for all such transfers in accordance with applicable privacy laws, including PIPEDA.
